Terms of Service

Plain-language terms. The parts that matter most: your data lives on your computer and is always yours to view and export — including after you cancel, when the software converts to a perpetual read-only license — billing accuracy remains your professional responsibility, and everything here is governed by Ohio law.

1. Who we are and what this covers

OnService, Inc. ("OnService," "we," "us") is an Ohio company. We make and support Med Claims Pro — billing and documentation software for workers’-compensation vocational rehabilitation professionals and nurse case managers. These terms cover your use of Med Claims Pro under a subscription plan — Forms, Professional, or a firm plan agreed with us — including any free trial.

2. License

The software is licensed to you, not sold. While your subscription is active we grant you a non-exclusive, non-transferable license to install and use the software on the number of computers and by the number of users your plan allows. Ownership of the software itself stays with OnService. If your plan ends, your license does not end with it — it converts to a perpetual read-only license, described in section 5.

3. The free trial

The trial is fourteen days of the full Professional feature set, with no credit card. Nothing is charged and there is nothing to cancel. At the end of the fourteen days the software stops accepting new billing and switches to read-only: everything you entered stays on your computer, readable and exportable, and nothing is deleted. If you subscribe, the same data carries straight over.

4. Payment, cancellation and the sixty-day guarantee

Med Claims Pro is sold by subscription — Forms, Professional, or a firm plan agreed with us — billed monthly or annually at the prices published on the pricing page. A monthly plan bills each month until you cancel. An annual plan is charged once for twelve months at the discounted annual rate (a 20% saving — currently the equivalent of $39 or $239 per month, billed as one payment) and renews annually unless you cancel before the renewal date. Cancel any time: cancellation stops future charges and your plan runs to the end of the period you have already paid for. Every plan includes ongoing support and updates as payers, forms and state rules change.

Every new subscription carries a sixty-day money-back guarantee: if Med Claims Pro has not earned its place in your week, tell us within 60 days of your first charge and we will refund every payment you have made and export your data in your formats. You do not have to justify the answer and there is no threshold you have to prove. Outside that window, fees are non-refundable except where required by law or where we agree otherwise in writing.

5. What happens when a plan ends

When a subscription is canceled, lapses or expires, the software switches to read-only. You keep opening it, viewing every client, claim, activity, document and receivable, and exporting them in your formats, indefinitely. We do not delete your data, disable your records, charge an export fee, or impose a window in which you must retrieve anything. The Word logs, PDFs and workbooks the software already wrote are ordinary files on your own computer and stay openable in Word, a PDF reader and Excel with or without this software. Subscribe again and full editing turns back on with the same data.

6. Seats

Licenses are per person, and so is the software. Each plan licenses one named user, who installs Med Claims Pro on their own Windows computer. Your billing database and your documents live on that computer, which means two people cannot work in one set of records at the same time: a second person is a second subscription and a second installation with their own records, not a second login to yours. Additional Professional users are $199 a month each. The Forms plan does not add users. A shared caseload across users is not a feature of the software today; if that is what you need, talk to us before you subscribe rather than after.

7. Your data is yours

Your claim, client, and billing data lives on your own computer. It is always yours to view and export, and we never hold it hostage. On our side we hold only your account, your license details, and — if you contacted us — your lead information. You are responsible for backing up and securing the computers you run the software on (accounts, disk encryption, backups).

8. Acceptable use

Use the software lawfully and within your license. Please don’t share a single user’s seat among multiple billing users, resell or sublicense access, reverse-engineer or defeat the licensing system, or use the software to prepare unlawful or fraudulent billing.

9. Your responsibilities

You are responsible for the accuracy of what you bill and for complying with your state’s rules, payer requirements, and your professional obligations. The software prepares documents from what you enter; it does not provide legal, billing-compliance, or medical advice, and it does not guarantee payment or recovery of any claim.

10. Warranty disclaimer

The software is provided "as is" and "as available," without warranties of any kind, express or implied, to the fullest extent the law allows. We do not warrant that the software will be uninterrupted or error-free, and we do not warrant any particular billing or financial outcome.

11. Limitation of liability

To the maximum extent the law allows, OnService is not liable for indirect, incidental, or consequential damages, and our total liability for any claim is capped at the fees you paid to us in the twelve months before the claim. Nothing here limits liability that cannot lawfully be limited.

12. Governing law

These terms are governed by the laws of the State of Ohio, without regard to its conflict-of-laws rules. Any dispute will be handled in the state or federal courts located in Ohio.
