ACCOUNTING INTEGRATIONS

Your billing and your books,
finally in sync.

The last thing you want after generating a claim is to type the same invoice into QuickBooks. We connect your build to the accounting software you already run — so what you bill, what you collect, and what’s still owed flow into your books automatically. Enter it once, in one place.

Works with what you use

The tools you already keep your books in.

We build to the accounting software you run today. If it’s a common one, we likely already connect to it; if it’s something else, we build the connection as part of your project.

QuickBooks Online

Invoices, payments received, and customers sync into QuickBooks Online so your bookkeeper opens the month already reconciled — no re-keying billing.

QuickBooks Desktop

Still on Desktop? We connect to it too, mapping your claims and payments to the customers and accounts you already use.

Xero

Push invoices and payments to Xero automatically, with your tracking categories and chart of accounts respected.

FreshBooks & Wave

Lighter-weight books work too — the same invoice-and-payment flow, sized to a solo practice.

Spreadsheet & CSV export

Prefer to hand your accountant a file? Export clean, accountant-ready workbooks — the exact columns they already read, including any tax set-aside you track.

Use something else?

Sage, a clearinghouse, a custom ledger — tell us on the discovery call and we build the connection to it. That’s the whole point of a custom build.

What actually flows

One entry, no double bookkeeping.

Invoices

When you mark a claim billed, the invoice appears in your accounting software against the right customer — no separate entry, no transposed amounts.

Payments

Record the insurer’s check once in your billing screen; the payment posts to your books and the invoice is marked paid, allocated across every claim the check covered.

Receivables & aging

What’s still owed stays consistent in both places, so the aging your accountant sees matches the follow-up list you work from — one source of truth.

Billed, paid, and owed are kept strictly separate on both sides — nothing is double-counted, and your books reconcile because they were never entered twice.

Built to your setup

We map it to your chart of accounts.

Off-the-shelf software makes you adopt its idea of an invoice. We do the opposite: on the discovery call we look at how your books are structured — your customers, income accounts, tax handling, and the tools you use — and build the sync to match. Your data still lives on your computer; only the accounting records you choose to push go to your books.

Questions, answered.

Which accounting tools do you connect to?

QuickBooks Online and Desktop, Xero, FreshBooks, and Wave are the common ones; we also export accountant-ready spreadsheets. If you use something else, we build the connection to it as part of your project.

Does my patient data go to QuickBooks?

No. Only the accounting records you choose to sync — invoice amounts, payments, customer names — are pushed. Clinical notes and claim detail stay on your computer and never leave it.

Is the integration extra?

One integration is part of a full (Professional) build; multiple integrations move a build toward the Team range. We fold it into your flat quote — see pricing.
